Judicial Administrative Assistant - Administrative Assistant II


The Minnesota Court of Appeals is seeking three resourceful, highly-motivated Judicial Administrative Assistants to provide legal administrative support to the judges of the Court of Appeals.  These are highly responsible positions that require the exercise of independent judgment and a high level of accuracy with detailed tasks, under minimal supervision. The successful candidate should be comfortable in a professional environment and must be very organized and detail-oriented.  These positions are located in the Minnesota Judicial Center in St. Paul, MN.  Each position supports two Court of Appeals judges and provides back-up support for other judges.


  • Act as executive assistant to two judges by performing various chambers-management tasks, including:
    • Manage judges’ schedule and calendaring; assist judges with preparing for upcoming appointments
    • Facilitate judges’ collaboration with and supervision of law clerks and other court staff
    • Track and report judges’ expense reimbursement, judicial-education credits, and vacation use
    • Assist judges with preparing presentation materials for Continuing Legal Education presentations and other speaking engagements
  • Coordinate many aspects of the progress of an appeal at the Court of Appeals, from the time the appeal is assigned to the judge to the time the opinion is released, including: 
    • Maintain calendars of case status and track deadlines; remind judges and staff of important dates
    • Coordinate the progress of an opinion from drafting stages to final release
    • Edit and proofread draft opinions according to judge’s instruction
    • Ensure that draft opinions are consistent with the court’s uniform formatting and citation style
    • Coordinate review of draft opinions by other judges and compile feedback for the authoring judge’s consideration
    • Navigate court’s electronic case-management system to retrieve case information, input data to reflect case status, and process opinions for release
    • Type and format templates for various court documents
    • Receive and distribute bench memoranda, electronically and in hard copies
    • Upload case documents to electronic case-tracking system and SharePoint site
    • Coordinate the receipt and return of physical case records
  • Perform other administrative tasks as assigned

QUALIFICATIONS: (Any combination of training and work experience which indicates possession of the knowledge skills and ability listed below):

  • Graduation from accredited high school or equivalent supplemented by a college degree and/or post high school legal/paralegal training.
  • Minimum of 3 years of experience in a legal support position.  
  • Must be highly proficient in the use of Microsoft Word and Adobe Acrobat.  Proficiency in Microsoft Powerpoint and Microsoft Excel is preferred. 
  • Must have excellent skills in English grammar, spelling, and punctuation; editing and proofreading.
  • Must be detail-oriented and highly organized.
  • Must be comfortable working with electronic documents.
  • Must be able to effectively and respectfully communicate with the public as well as court and judicial personnel.
  • Must be able to learn and willing to work with varying hardware and software programs, including dictation programs.
  • Resourceful and flexible individual who works well in a team atmosphere.

SALARY RANGE & BENEFITS: $44,662 - $66,983 annually ($21.39-$32.08 per hour). Starting salary depends upon qualifications.
