Job Planner

REPORTS TO: Manager of Project Management

SUMMARY: Reviews and plans all technical aspects of entering a job into production, and oversees job through the stages of production until final delivery. Ensures all necessary components to produce a job are present and/or available. Applies extensive knowledge of production techniques, equipment capabilities and characteristics of production materials using discretion and independent judgement to plan the job to maximize productivity, profitability, and customer satisfaction.


1. Reviews the incoming job with AM and/or Sales, noting all written specifications and directions, file documentation, lasers and technical aspects. Asks necessary questions to clarify the technical aspects of the job to meet or beat the estimate.

2. Reviews job files, supplied proofs, specifications, and technical aspects with appropriate production supervisors to assure successful production. Ensures that the prototypes, mylars, CAD drawings, works with Design Dept. to create production mockups, etc., assures accuracy and follows the job as needed. Relates any additional concerns, and/or required changes and possible costs needed to produce the work to the AM.

3. Reviews carton design and packout, assures accuracy of specifications.

4. Prepares Schedule sheet based on the customer expected final delivery for each job planned and forwards to Production Scheduling. Advances returned approved proofs in the artbag to the prep department after creating and attaching a layout sheet, and plate sticker. Copies of the layout sheet and schedule sheet to be placed in ticket envelope. Approves dieline imposition and forwards die order form, imposed dieline, design specifications & estimate to Purchasing.

5. Reviews entire job ticket for accuracy & completeness.

6. Finalizes the job ticket, calculates and advances the stock orders and the ink orders to the appropriate departments, enters job number to the Ship List, makes sure all documents are attached or inserted into the ticket envelope, prints the final ticket and forwards it to the scheduling department. Updates changes to job tickets that have been printed out.

7. Receives updated job scheduling information from Production Scheduling and records on “Work-In- Process” Job List and maintains list throughout the production process.

8. Reviews (includes for layout and content) and forwards proofs coming from the Pre-Press department to the AM or Salesperson.

9. Oversees the job through all phases of production, updates AM’s and/or Salesperson of significant changes and works with the appropriate production departments and scheduling on the progress of the job as planned.

10. Responsible for approving production process as required, 1st articles. DUTIES AND RESPONSIBILITIES continued:

11. Works closely with Purchasing and vendors to assure accuracy and cost efficiencies of materials or outside services purchased for the job. Will include periodic on-site first article inspection of contracted servces.

12. Communicates with production – answers production / technical questions on jobs.

13. Works in cooperation with Sales, AM, Production Scheduling and Operations to maintain on-time delivery schedules for customers. Attends daily scheduling meetings and organizes release meetings.

14. Performs job duties in compliance with ISO procedures.

15. Participates as required with process improvement projects.

16. Performs other job duties as may be assigned. Performs all assigned work efficiently and on schedule.

17. Responsible as a team member for customer satisfaction. 18. Performs job duties in accordance with all federal, state, local and company safety rules.


Available 24/7 when their jobs are in production. Thorough graphic arts/technical knowledge, excellent oral and written communication skills, ability to work under pressure, ability to establish multi-faceted priorities, mathematical aptitude. Must be self-motivated, independent thinker & require little supervision.

Level of work activity is sedentary and involves lifting 10 lbs. Maximum and occasionally lifting and/or carrying. Must be able to move freely on foot thoughout the plant, as occasional walking and standing is necessary.


  • Associate or 4 Year college Degree with Graphic Arts training or equivalent work experience required.
  • Minimum 5 years sheetfed planning experience in a large commercial or Point of Sale printing company.
  • Must test in the normal range for color on vision exam and satisfactorily pass pre-employment drug test.
  • Successful completion of a background check and Psychological profile are required.
